Enquiries and Membership

Becoming a Member

Oxford City Athletic Club aims to promote the sport of athletics amongst all its members and in the wider community, and to create an environment within which athletes will improve and develop skills to enable a good and acceptable standard of participation and achievement. While many of our members participate in several sports, the Club is not simply a place to gain fitness for other sports. To this end the club welcomes new members of all abilities, from complete beginners to internationals; there is no minimum standard, just a willingness to train and become part of a club dedicated to the enjoyment of athletics. We welcome sprinters, throwers, jumpers and middle distance runners, and offer coaching specialists in all disciplines.

We offer a whole range of different types of membership, catering for all needs. Whether you are are junior or senior, a regular or seasonal competitor, we have a membership tailored to encourage you to train and compete for the club. The following is a selection of the memberships we offer:

  • Full Track Junior (the one that most juniors choose – it gives you access to the track and all of our equipment for training, and entitles you to compete for the club. Your affiliation to England Athletics will be paid for.
  • Full Track Senior (again, the one that most seniors choose – it gives you access to the track and all of our equipment for training, and entitles you to compete for the club. Your affiliation to England Athletics will be paid for.
  • Student Senior – similar to the above, but cheaper, as it is designed for those who are away at University and can only use the track in vacations
  • Student Junior – same as Student Senior, but for u18s.
  • XC/Roadrunner (no track) – for Seniors who do most of their training away from the track but who wish to compete for the club at cross country, road running, and on the track. All track sessions have to be paid for separately as they are not included in the price of this membership.
  • XC/Roadrunner (no track) for Over 70s. As above, but designed for older athletes who only compete irregularly. All track sessions have to be paid for separately as they are not included in the price of this membership.
  • Competition Only (Senior) – for seniors who choose never to train at the track or are unable to train on the track because they live too far away, but who wish to compete for the club in cross country, track and field or road running.
  • Competition Only (Junior) – for juniors who choose never to train at the track or are unable to train on the track (usually because of living away at school) or because their other sports commitments mean that they cannot train with us, but who wish to compete for the club in cross country, track and field or road running.
  • Second Claim (Senior) – if you are already a First Claim member of another club, but wish to compete for OCAC then you can join us as a Second Claim athlete.
  • Second Claim (Junior) – occasionally we are asked by a First Claim junior member of another club if they can compete for OCAC; you can join us as a Second Claim athlete.
  • Higher Claim Athletes – you can also join as a Higher Claim athlete at the start of the year if you are already a first claim member of an EA affiliated club.
  • Family Groups – we offer reduced prices for family groups.
  • Coaches and Officials and Key Volunteers – are normally eligible for free membership
  • Coaches children – may qualify for reduced or free membership, depending on circumstances.

If you wish to join, you should complete the form below, which will be forwarded to one of our membership team. Please note that they are all volunteers who help the club in their spare time. They will do their best to reply promptly, but at busy times you may have to wait a few days before receiving any form of acknowledgement. Our membership team will help you to identify what type of membership is likely to meet your needs, and will help to place you or your child in an appropriate training group. They may also invite you to attend a taster training session at the track. After this you will either be invited to join, or placed on our waiting list while we wait for a suitable training place to become free.

Please do not simply turn up at the track and expect to be included in a training session.

If you were previously a member and your membership has lapsed, you will have to apply again and may have to go on a waiting list.

NB Completing this online form does not mean that you have become a member – at this stage you are enquiring about membership. All applications for membership must be made via this link. If you are unsure about what is involved in becoming a member, then please raise specific questions in your online application.

Both seniors and juniors are expected to be available to compete for the club if selected – see the sections on track and fieldsportshall, cross country, road running and quadkids.

As places in our junior training groups are restricted, the following criteria will be applied in assessing your application for junior membership:

  1. New and on-going membership is a commitment to represent Oxford City Athletic Club in competition, and athletes will make themselves available to compete if selected.
  2. Junior Club Training Members whose participation in competition for which they have been selected falls below 75% in any one season may have their membership revoked.
  3. Junior Club Training Members who miss four consecutive training sessions or whose attendance over any rolling three month period is less than 50% will be liable to have their membership revoked – unless valid and acceptable notice of such absences has been provided (eg due to prolonged injury or absence from the country).
  4. Priority will be given to juniors on the waiting list whose parents/guardians are suitably qualified and willing to assist in the running of the club, particularly in an officiating or coaching role.

Training Fees

For any member who does not have a membership which includes track training, and all non-members wishing to use the track, the cost of training is £4 per session.

You can also purchase monthly and annual track passes, offering excellent value for money for regular attendees.

Passes can be purchased on arrival at the track, either from the Athlete Centre or from the clubhouse (when the cafe is open).

Membership Applications and Renewals

We use a platform called Love Admin to manage memberships. On being invited to join you will be asked to complete application forms on the Love Admin platform, and once you have provided the information we need, you will be able to set up a Direct Debit to pay for your membership on a monthly basis. Rolling membership can be commenced at any time of year, and discontinued at any time. Membership of England Athletics, which is part of your membership fee, is £19 annually, and runs from 1st April annually.

A Hardship Fund is available for members who may, for one reason or another, find it difficult to pay a membership fee regularly.  In the case of hardship applications (in confidence) should be addressed to the club Chairman

Data Protection

When you become a member of, or renew your membership with Oxford City Athletic Club, you will be registered as a member of England Athletics (except under 9s). We will provide England Athletics with your personal data which they will use to enable access to an online portal for you (called myAthletics). The data we pass on is as little as possible:  name, date of birth, gender, address. England Athletics will contact you to invite you to sign into and update your MyAthletics portal (which, amongst other things, allows you to set and amend your privacy settings). If you have any questions about the continuing privacy of your personal data when it is shared with England Athletics, please contact dataprotection@englandathletics.org.
